Improving Your Workplace Communication Can Reap Huge Benefits

Monday 20 July 2009 @ 10:19 am

Strengthening workplace communication strengthens every aspect of your business. In addition to forming personal connections that are rewarding in their own right, your career will start to soar. In contrast, bad communication in the workplace often results in stunted growth and the decay of working relationships amongst employees. Ways to strengthen your workplace communication are discussed below.

One of the most important factors of workplace communication is to talk to your co-workers in person. When people speak face to face the chances of being truly heard and understood are greatly improved. This lets the participants more correctly comprehend what is trying to be conveyed and to also read and interpret the speakers body language.

Workplace communication depends much on comprehending the whole message which is achieved most efficiently through meeting directly. Personal contact is necessary in good workplace communication. When people talk to eachother in person they seem to understand one another better. A second best choice would be to call on the phone. You can thus hear the tone of the other person’s voice, at least.

Establishing relationships with people you can trust on the job is the next task. Almost every company is divided into various departments or sections. Depending on your job function, there could be great benefits gained by befriending people from various departments in your company. Healthy, productive workplace communication is not only personally beneficial, it will make your business work better as well.

Remember to be consistent and courteous and you should not have any problems with others. The mere act of saying “Thank you” often will set you apart from your peers. A simple “thank you,” so often forgotten or neglected, is remarkably powerful in the workplace. Also, being consistent in your messaging will let people get accustomed to how you speak and communicate. This will get rid of time wasted by others who are confused by what you mean in emails and other writing.

The most important factor in resolving tensions in the work place is communication. “What is best for the company?” is the best question to end departmental conflicts and even individual disagreements. You shall be astonished on how a conversation changes when this question is asked.

Finally, communication in the workplace must be reciprocal. Without sharing anything of value or substance, interest amongst others in communicating with you will decline. People are only boring when they are speaking with someone who does not have the same interests. Being able to talk easily with anyone about almost anything is a skill that is vital to your career. This will necessitate some research on your part so that you are not only conversant in your own industry, but in the outside of the office interests of your colleagues.

Using this workplace procedure for communication will tremendously add to your worth at your place of employment and will bring new chances for advancement.

Communication: What Map Are You Using?

Thursday 16 July 2009 @ 8:24 pm

Imagine that you are with a large group of people that has been dropped into the middle of no where. Fortunately, you each have a map so that you can figure out how to get back to civilization. Unfortunately, each map is slightly different, and there is no way of telling which map is the closest to being correct. And of course, every person believes that their map is the right one. So what do you think happens next?

A) Everyone starts going a million different directions on their own, based upon the map they each have.

B) An argument ensues over which map to use.

Now, how does that translate into business and communication? Imagine you are a fly on the wall of the board room for Company XYZ. Each department head has come to make requests of the executives. Susie from the filing department would like more file cabinets. Bob from maintenance would like people to quit putting their feet on the desks as his men are tired of fixing them all the time. Justin from sales would like the marketing department to have a faster turn around time with the new sales packets. Margo from marketing would like the sales department to quit butchering her artwork by putting it on poor quality paper.

You get the point. Everyone is working to get their point across and their needs met. And they are doing this by working from their map of the world.

Now what do I mean by their map of the world? Each of us has a way that we view the world. Some people are cynics. Others are “glass is half full” type people. Others are paranoid, convinced that everyone is out to get them.

Why do we have all of these variations? Well, it has been said that it is a combination of nature vs. nurture. Some people are born naturally timid and afraid to express their opinions. Others are nurtured to be this way due to different experiences throughout their lives. Each experience in their life has etched a spot into their map. The core beliefs they are taught as a child have influenced this map. Their successes, their failures, the happy times, and the sad times have all laid down roadwork towards the next destination at which they will arrive.

So, any time they are presented with a situation, they make decisions based upon their map of the world, whether that map is the correct map or not. In business we must realize that each of our prospects, customers, and peers come to us with a different map of the world and we must decipher the legend for their map if we are to truly communicate with them on their level. In sales training this might be presented as DISC, Transactional Analysis, or another personality type test. However, to truly decipher a person’s legend, you must not only know their personality type, but you must know what has caused them to be the personality type they are. Why do they have problems with authority? Why do they always need to be recognized for their accomplishments?

Now, realistically you can’t know all of this about every person you come in contact with. First of all, you would have to be the world’s best practitioner of bonding and rapport to get people to open up to you so much. Secondly, you wouldn’t be able to emotionally or mentally take on all of the baggage. So, knowing that we can’t master another person’s map completely, what is the point?

Well, at times it helps merely to remember that they are indeed working from a different map of the world. This helps to diffuse tempers and misunderstandings. While before it may have completely ticked you off that the guy in the next cubicle insists upon listening to Enya every time he is about to make a cold call, maybe now you realize that the reason he does that is because he is scared out of his mind and Enya helps him to relax. It may still be completely annoying, but instead of beating him over the head with his phone you may now politely ask him to put headphones on. And when other differences come up, we remember that others’ maps do not match ours. They simply look at the world in a different way, and remembering this can help you approach the world differently. To view your business opportunities differently. And to approach these opportunities on their terms.

Forget About the Mousetrap. How About Building a Better Website?

Wednesday 15 July 2009 @ 9:23 pm

In this day and age business is all about technology. Whether you are in the business of real estate or even selling shoes, having a good website is first and foremost on the successful business checklist.

The amount of traffic that can be potentially generated to your business website can be the deciding factor on whether your business is a success or a failure.

There are a few important pieces to consider when putting together your overall website. The ultimate goal is attracting as much virtual traffic as possible and then harnessing an aggressive clientele.

Not only do you need to steer users of the internet in the direction of your website, you need to make sure that the ones that do eventually navigate to your shores are enthusiastic and there for one main reason, because they want to be.

Receiving four hundred visits a day may sound impressive. But what does it really mean if eighty percent of these internet surfers are not truly interested in what it is you have to say and the products and services that you are offering to them.

First of all, doing a bit of research and designating the keywords that will drive people to your site is a definite must. Carefully selecting the most powerful keywords will attract the most enthusiastic and aggressive individuals to your site.

These are the people who are sure of what they want and are ready to take action. Once you get them there, it is important to offer a product or service that they will see as beneficial to their lives.

It may sound simple, but you would be surprised at how many websites actually overlook the main functions and goals of what a website is capable of offering to a potential client base.

A website should include a variety of enticing elements to its visitors. First of all, an aesthetically appealing site will keep the engagement of a consumer and will leave them intrigued and wanting more.

No one wants to look through the pages of a boring or graphically challenged depiction of any business.

Your website should also be easy to navigate. There is nothing more frustrating, especially to ones with much enthusiasm in regards to new business ventures, than information that is difficult to get to.

People these days typically do not like to waste their time. They want to go in, get as much information as they can in the shortest amount of time, and get on with the task at hand. For this reason, creating easy access to all areas of your site is crucial.

Keeping the information on your website current is also imperative. With technology growing and changing at the speed that is today, most people do not have the time to listen to old news.

Websites should be constantly and consistently be upgraded and enhanced offering the most up to date information possible.

In addition to the keywords, quality of traffic, and efficient navigation of your site, there is the profitability factor. Making sure that you have an adequate payment system in place is how the money will be made.

Whether you enlist the services of paypal or other shopping cart type programs, offer credit card services, or opt for other methods of payment from your consumers, the main thing to consider is that the method of payment and disbursement of goods and/or services is functional, accurate, and expedient.

Implementing all of these strategic components and making sure they are also being properly maintained, should lead your business on a path to future success through via your website.

Your online business can ultimately become a self-sufficient machine ready to produce a positive cash flow even while you are asleep.

Improve Your Listening Skills to Build Business Relations

Tuesday 7 July 2009 @ 8:49 pm

People don’t listen. They hear but they aren’t really listening o what you have to say. A good cue is to watch their eyes. Are they looking at you? Are they looking at your face, at your eyes?

If you listen to someone and do your best to understand who they are, and what they have to say, they will eventually give you all that information. Some of what they say may be irrelevant, incorrect, or what you think is misguided. No matter. Some of it may give you the key to what motivates and inspires them to take action.

When you are seeking new customers or clients or want to establish better relationships with the people you have, you need to become a good listener.

For instance, let’s say you are listening to someone who shares their dream of wanting to start a business in their home. Most entrepreneurs would launch into telling the person all about their great opportunity or their coaching skills, or their technical skills they can use to get started.

A better response is to ask that person “What is it about working from home that attracted you?” Now you can listen to the answer and discover more about this person. Maybe what you have to offer is the opposite direction of what this person seeks. Maybe what you have to offer is right on target.

The fact is when you are listening it takes the pressure off of you to try and influence someone to take your class or purchase your product. A good customer is not someone you have to convince to purchase your product. They will buy it once and you will never see them again.

A good customer is someone you can help achieve their dream, solve their problem, or connect them with resources so that they can achieve their goals. These are customers forever.

In any case, keep asking questions and listen. Listening and talking isn’t selling and people are too sophisticated today to jump at your coaching program or sales letter product. It is better to ask and talk then to sell. Find out their dreams, their goals, where is their pain.

If you’re the one doing most of the talking you’ll never find out how you can help them because you won’t know where it hurts.

No matter how successful you become you end up building your business one person at a time, even if they’re in groups. To do that you must make a personal connection with people, a connection that’s powerful enough to overcome natural resistance to change, to try new business or life approaches, and to get out of their comfort zone.

One of the best ways to do this is by listening.

Use Display Stands To Reinforce Your Brand

Monday 6 July 2009 @ 12:40 am

Exhibition shows for businesses can be really important; they offer you a direct chance to meet potential clients and to present your company’s services. If your company has never been to a trade fair or exhibition show before it is important to get as much advice as you can on what you can do with presentation to draw in customers and what display stands can help you achieve this. This article will look at how you can work with the space you are given to create the best impact.

First of all you need to know what type of display stands are out there so you can get the best value out of your budget creating the best impression you possibly can. There are several factors you need to think about and it will benefit you to gain as much advice as you can before you make a final decision.

When you are getting advice about your display stands any company that is quoting for them will need to know what sort of budget you have to work with. There is really no point in quoting on the most expensive and extravagant displays if you really don’t have a lot of money to spend. Decide beforehand on a realistic quote that you are willing to spend so that companies you talk to can give you the options you have for a realistic solution.

A good display company will ask you what goals you are aiming to achieve with the show, this will then help then to show you what styles and designs will suit your needs. These will be able to attract the right attention you want and push the correct message you wish to convey. Going to a show without knowing what message you want to present is risky as you are unlikely to get back as much from the show as you have put in.

You also need to think about the space that you are being provided with, your display stands need to fit the space you’ve booked. Talk to your company about the measurements you have got to work with and where it is. They can then advise you on the best combination of stands or an arrangement that will see to your needs.

Finally, if you get your display right then it is a great way of reinforcing your brand at the show, sending a consistent and clear message to your customers both currently and potential. Don’t forget to make sure that your brand is a key feature of your display stand’s design.

A Beginners Guide To Body Language

Tuesday 30 June 2009 @ 10:21 pm

Body language is non-verbal communication, but is used along with verbal communication. It expresses our emotions, conveys our attitudes, demonstrates our personality traits and supports out verbal communications. Everyone uses this whenever we communicate with each other.

There are many different non-verbal behaviors that vary across cultures, such as the thumbs up to signify “way to go” or “good job”. However, the different six primary emotions of happiness, surprise, sadness, fear, anger, and disgust are common throughout all cultures. You will find that these six come from our own instincts and can be taught to us, as they will naturally appear when we speak and communicate with others.

When you have a conversation with another person you will have an expression coming from within you that will come from your sub consciousness. And, because this comes from the subconscious, it can tell others a great deal about how you are as a person.

Fear is a natural human emotion and serves a purpose related to our safety and security. But let us imagine a person who has witnessed a serious auto mobile accident, but rather than running to the aid of the injured; they run franticly in the opposite direction. This frantic running away is body expression that certainly infers some kind of fear. Specifically what that fears might be we cannot know without talking to the person. But it is obvious that the fear has nothing to do with immediate safety. Through this example you should be able to see how we can read another’s personality through the lens of his body language.

You can try an experiment of your own at home. When you speak to someone, you should look at what their body is communicating to you as well. Whilst talking with someone, observe their body language as they talk. After a few moments observation, you should close your eyes and continual listening to them. When you do this, you will not be able to see their hands moving, facial expressions, or other bodily movements. You will, though, realise how much information is not available to you because you have your eyes closed. You will find that thus process will become even more difficult to read and understand without actually seeing an individual’s expressions that go with their vocal speech.

You will find that a specific way to learn how to a person’s body language will be to observe them and get to know how they ‘talk’. You will need to that all individuals have six common types of instinctual body language, yet will vary in degree of expression. Non-verbal communication will also be common among certain cultures, societies and families. Because of this, two different people could have a similar behavior which will be expressed through similar types of body behavior. If you are conscious of your own body language, then you undoubtedly find it easier to read other people’s who are similar to yours.

As you progress and continue to learn your own body language and how it relates to the behaviors of your sub consciousness, you will need to be conscious of the fact that you don’t overdo this. After some time, you will recognise the only goal will be to match your thoughts with your own body language.

In this process, you are not concerned about judging yourself, but want to learn how to read your own body language so that you will later be able to read the body language of others. After, you will be able to use the information you have gained for your own understanding.

Once you recognize some of your own body language movements and what they mean, you will be able to begin to read other people with more accuracy. When you are having a conversation with someone, you will be able to identify different things such as mixed messages. These mixed messages will be identified when an individual says one thing, yet their body communications something else.

You can find that a good way to test your understanding is to see when someone lies to you. They may tell you, “I didn’t do it!”, but the tone of voice, the way they look away, and then are slightly nervous will indicate they have something to hide and all things just don’t add up.

You will recognize a specific conflict between verbal and body language, which will signal possible deception on their part. When you receive mixed messages like these, you can be almost certain they will be related to insincerity and mean they have something to hide from you.

Ray is a body language expert who understands how to read someones body language and see if their body is saying something different when they are in a conversation. He also teaches others to learn how to read a person’s body language when they are having a vocal interchange with them.

Increase Your Telephone Inquiries With An 0844 Number

Tuesday 30 June 2009 @ 4:01 pm

With the economy being the way it is at the moment, people are more conscious of spending money than they have been in a long time, and this even extends to our telephone bills. With money not stretching as far as it previously has, people are far less likely to make an enquiring telephone call at national rate, meaning that your expensive advertising campaign could well be a wasted effort, but there is a solution.

Acquiring an 0844 number for your call centre or office is an excellent way to encourage people to make that call after seeing or hearing your advertisement as it is a geographically independent number, meaning that callers will pay the same amount per minute wherever in the country they are calling from, often as low as five pence, making it far more likely that they will call you and hopefully take up the service you offer or purchase your product.

Introduced in tandem with the 0845 number as part of BT’s lo-call scheme which assigned local call costs to these calling codes, the 0844 number can be an ideal way to ensure that potential customers are less wary of the costs of contacting your business, especially with BT offering free calls to these numbers with selected calling packages.

A geographically independent number also has the advantage of meaning that your business’s location is not immediately obvious, enabling you to give the impression that you are providing a service locally in your advertising campaign, again making it more likely that people will contact your call centre, either to make a purchase or a booking, or at least an enquiry which can hopefully lead to a purchase or booking.

Available for a very reasonable cost, an 0844 number or two for your business lines is a worthwhile investment, especially if your call centre is the first point of contact for your customers, both current and potential. As well as making the cost of contacting you less prohibitive, these numbers also mean that your company or call centre will pay no charges on inbound calls, saving you money while hopefully making your company money in the process.

With the impending changes to the facilities offered by 0870 numbers, many businesses are switching themselves 0844 to retain features like voice to email and online statistics; coupled with the cost advantages to both customers and your business, now is an excellent time to switch your business or call centre to an 0844 number.

Anna Stenning is a business manager with many years of experience organising and running call centres. Find out more about how an 0844 number can help your business at http://www.blueboxtelecom.com/

Basics of VoIP Services to Help Communicate Over the Net

Wednesday 24 June 2009 @ 11:02 pm

With the way technology is moving it is sometimes hard to keep up with the latest. One of the great parts of technology that is continually developing and growing and is currently available for businesses and homes is VoIP services. When you first hear the term you might be like me and be thinking to yourself, “What are VoIP services?” The good news is that once your learn about VoIP services you will be glad that you did.

That is usually the case with most things. So, the first question is, what does VoIP stand for? It stands for voice over internet protocol. Those are probably words that you don’t understand and don’t feel bad, because I didn’t either, but it’s worth learning about.

So, here is a basic explanation of what it means. It is a technology that allows you to make voice calls using a broadband internet connection instead of regular land line. With that in mind many might wonder what the advantage is to having VoIP services. There are many great reasons to have VoIP services, but here are a few of my favorite reasons.

One of the biggest advantages is that you might be able to avoid paying for both internet and a regular telephone land line. Everyone is looking for savings and this is a great way to save money. Also, the VoIP services can often offer features and services that are not available with a normal telephone line.

Another great feature is that you can talk on the phone while you are using your computer. There are many “hot spots” that we go to with our computer that we can pick up internet. Some of those “hot spots” are airports, parks and cafes. With VoIP services you can connect to the internet and sometimes you can use VoIP services wirelessly.

Is there special equipment required to use VoIP services? The first thing that is required is a high speed internet connection. This can be through several different options such as a cable modem or high speed services such as DSL or local area network. The other equipment that is required is a computer, adaptor or a specialized phone. This varies depending on the VoIP service provider you use.

If you are using a computer you will need software and a microphone. It can be an inexpensive one. These are some basic things about VoIP services. It is a service that many are using and can benefit you in many ways whether it is at home or in your business.

Stop The Press: Good Media Skills Make Good PR

Sunday 21 June 2009 @ 8:19 pm

In the current economic climate, marketing budgets are being slashed and most organisations are looking at ways to cut all costs that are not deemed absolutely essential. This being said, many marketing professionals either underestimate or do not recognise the value of applying media skills in order to get free publicity.

Wherever there is a news story that involves a certain industry the media is seeking for industry commentators to represent that industry. When you see a corporate representative being interviewed on the television, it is not accident or coincidence that has lead to that company being selected by that programme to represent the industry.

The chances are that the representative of the organisation has a marketing or PR department behind them that has been applying media skills to maximise the company profile within the media. Even if this representative has only spent two minutes on air, it is still thousands, if not tens of thousands of pounds worth of airtime in advertising terms. The same principle applies with printed media.

The audience is likely to view the representative as an industry voice, almost an industry spokesperson and to pay more attention to this publicity than advertising. Generally, press coverage of companies is seen as a more trustworthy and reliable source of information than advertising,

These success stories do not happen overnight. However, everybody has access to the media and if basic media skills are applied over a period of time, you can share in this vast publicity resource.
Many people only associate media skills with crisis handling , but this is only one part of the media skills set.

Media crisis handling is one of the most recognised and essential media skills, but focusing purely on this is a reactive attitude to media handling. By taking a proactive approach to media skills you can entice media interest and get positive media coverage

The basic media skills referred to include: understanding what will interest the media, networking and building relationships with journalists, taking the right approach when contacting the media, pitching your idea to journalists with confidence and maintaining mutually beneficial relationships with journalists. Plus, of course, writing press releases that editors want to publish.

Media skills training and coaching are an excellent resource and safe environment for developing these basic skills. These can be particularly successful when the trainer or coach is themselves an experienced journalist who understands what the media is looking for.

By developing fundamental media skills you will have a network of media contacts who you can not only send information regarding your company, but who are more likely to come to you when something in your field of expertise comes up that requires comment.

The key to getting media coverage is in creating an angle that is of interest to journalists, editors and their audience, rather than purely a sales spiel. This involves coming up with statistics, events, stories, etc that are relevant, exciting or perhaps surprising. One piece of publicity can often lead to further interest from the same publication or others who see it.

Understanding the media is one of the essential media skills necessary to making the media work for you and media skills training is a valuable resource to achieve the necessary level of understanding.

Dominic Donaldson worked for years as a news correspondent and is a leading consultant in media skills contributing regularly to international publications on the subject.

Business Email: A Powerful Business Tool

Thursday 11 June 2009 @ 9:50 am

People who are into establishing their own companies are thinking of ways on promoting their businesses. Examples of these promotional strategies are passing out flyers, website building, blog posts and link posting to social network page in order to bring people in to your businesses.

There is, however, another strategy that you might have overlooked. This is very simple yet can be as very effective as the others mentioned above. These are the business emails.

Business emails are the accounts or address that will serve as your business contact. Every transaction and inquiry that would concern your business will be stored and sent there. If you are going to have a business mail, it is of great advantage if you will get a paid service. Paid email accounts have a number of features that will benefit your business such as more storage space, anti spam features and a personalized email address name. We know that we will not be able to receive incoming mails once our inbox becomes full. If you are in a business, you will have probably lost an inquiry of your potential client. With a larger inbox space, you are sure to receive and be able to entertain inquiries. Regarding the anti-spam features, it will monitor your email so that it will not be cluttered by spam mails or be attacked by any malicious programs. Since we are using internet and email as media of communication, our systems are prone to virus attacks that might affect our files and ruin our business.

You may state that you already have a personal email account from a free host and you can use that for your business. You can certainly do that, however, those types of accounts are prone to virus attacks and may not have a larger storage space. And besides, the name may not sound that professional and unique so you will not be able to extensively promote your business. Having a business mail can attract a number of customers as they will have the perception that it is a professional and reliable business. At the same time, your email address would easily be recalled by people since it is unique.

These are the reasons why you must get a business email. Business Email’s promotional strategy may be working in a very subtle way but is sure to bring you additional customers as your business grows.

Jordan Mcpelt represents myhosting, one of the internet’s premier business email providers. They have affordable business email and hosted exchange packages. They also have great business web hosting packages! Find the right package and set of features that fit your needs today!
