Top 10 Tips for Successful Medical Dictation and Transcription

Tuesday 21 July 2009 @ 8:40 pm

Quality medical dictation affects the accuracy and turnaround time of transcriptions which directly impacts patient care and reimbursements. This article will provide you with the Top 10 tips for successful medical dictation and transcription. Whether you are a small practice or a community health center administrator, the following will be beneficial to you.

Your practice can benefit greatly by improving the precision of your medical dictation skills. Good medical dictation will bring you savings, as well: poor dictation consumes time and labor, increasing overall documentation costs. Finally, quality dictation can even help you legally: fewer transcription mistakes caused by poor dictation equate to fewer errors in patient care.

By incorporating the following top 10 tips for successful medical dictation, you can accelerate the time it takes medical transcriptionists to learn the style of your dictation, as well as improve their accuracy - all the better for you to run an efficient and high quality medical practice - a win-win for all.

1. At the start of your dictation, gather any papers, reports that you might need for your reference.

2. Dictate as if you are speaking to the patient in an exam room, speaking clearly so the Medical Transcriptionist will understand you without error.

3. Speak at a steady pace and not too loudly or softly. Keeping the recorder approximately 8-10 inches from your mouth will help improve clarity. Always move your face away from the recorder to sneeze or cough.

4. Minimize noises including the TV or radio, eating, drinking, chewing gum, shuffling papers, opening drawers, rearranging your desk or making loud noises as they can be very distracting to the medical transcriptionists. Likewise, do not dictate in a crowded room. The background noise is distracting and you may be sharing protected health information inadvertently.

5. Avoid multitasking while performing dictations. Use the pause button if you would like to take a sip of water or sort out documents. Do not dictate while driving. The sound quality is usually poor, not to mention that it is dangerous.

6. Identify yourself and state what type of report you will be dictating. Detail any special instructions at the beginning of the dictation. State, and then spell full details of information such as the patient’s full name and proper mailing address on letters.

7. During the dictation be as specific as you can with spelling, phrasing, formatting and ‘normals’. Spell the names of patients that you think the Medical Transcriptionist may not understand (i.e. ‘Amy’ spelled instead as ‘Aimee’), as well as local names or cities. Clearly spell words that may not be commonly used in the medical field, including new pharmaceuticals or treatments and unusual words representing diseases, drugs, or procedures not normally found in the mainstream of your daily work or specialty. Use the same phrases in each of your report types and follow the same order of headings whenever possible. Furthermore, be specific when inserting ‘normals’. If you need to change any part of the normal, please indicate exactly what information the medical transcriptionist should delete and where to insert changes.

8. Include punctuation, especially when starting new paragraphs, and include ‘open’ and ‘close’ quotation mark instructions.

9. Avoid using a lot of ‘ahhhs,’ ‘ums,’ ‘ers’ and ‘uhhhs.’ They can be confused for the letter ‘a’.

10. While cellular phones are convenient, the sound quality is usually not ideal. Land lines will give the medical transcriptionist a better quality recording.

With these practical medical dictation tips, you will help your medical transcriptionist provide you with highest quality service in an expedient manner. High quality patient care, accurate records, accurate billing, lower costs, and fewer legal issues all begin with your clear and precise dictation - a small consideration with very large and far-reaching benefits to your practice and your patients.

The Importance of Dental Marketing

Friday 26 June 2009 @ 10:55 pm

These days, no matter what kind of dentistry you practice, it is simply not enough to move into your office and put up a sign! The world is more connected than ever and professionals in every industry have realized that unless they start making use of this, they are going to get left behind. Drumming up business is an essential part of being a successful dentist, so are you using the best methods out there? While relying on word of mouth and good location will get you a certain amount of patients, the truth of the matter is that there are many other ways to make your services known.

First, have you considered thinking about social marketing? If you are familiar with the way that one patient will refer another one, you have seen social marketing in action, but there are so many ways to accomplish this more effectively, especially if you get online. Social networking sites like MySpace and Facebook are essential when you want to make sure that people know who you are and what you do, and if you are ready to really tackle social marketing head on, these are two of the tools that you need to use. This can bring you more clients than you might expect.

Another great option that you need to look into is how to make sure that you are seen as an authority in your field. Whether you know it or not, you are an expert and you have knowledge to share. While handing out knowledge for free seems like an odd marketing strategy, the truth of the matter is that it works. People who hear what you say and have found it valuable are going to be more apt to head to your office and at the end of the day, this is what needs to happen.

Do you know how to use Google to your benefit? When people need things these days, they don’t go to the white pages any more; they go to a search engine. If the search engine doesn’t find you, there is a good chance that no one is going to be able to do so either! This means that you do need a presence online and that you do need to be skilled in making sure that people are going to be able to find you. This is where using Search Engine Optimization services can make a big difference. You can be sure that your competition is using them, so see what they can mean for you.

Those techniques are just the beginning. Have you thought about how useful it would be if your clients were all on a email newsletter that you sent out? What about creating a referral service, where you give cards for free basic services to returning customers, urging them to hand them out to their friends?

There are many ways to make your dentistry business more solvent and more popular and with economic times being as they are, this is vital! Take some time to really figure out your needs and how you can market yourself and your services to the largest number of people.

The Unsung Hero: User-Friendly Websites

Monday 8 June 2009 @ 4:26 pm

You should thus make it as simple and pleasant as possible for your customers to get information in your store, to find and order products, one of the basic rules for successful online marketing. You have made the right choice with your decision for an online store, because your new store comes with all the vital features and elements for shopping conveniently and easily on the net, thus laying the foundations for successful online marketing in the long term.

Attractive and sales-promoting design Basically, the same rules that apply to a conventional store apply to the design of a virtual store: The goods offered should be attractive and induce shoppers to buy. But
this product presentation and the store design should not distract from the actual purpose, selling. Via design and layout it is important to impart a pleasant and secure shopping feeling and induce the visitor to buy. It is essential during implementation to take into account some internet-specific peculiarities:

Unlike selling in a brick and mortar store, your customer can not test or try out the product or check the material. For this reason, you should make his buying decision easier with meaningful, but not overly long, product descriptions and high-quality and free-form product images. Detailed images of the product or individual product attributes facilitate the choice and buying decision of the potential customer.

The customer should be guided from the product presentation/information quickly and with as few detours as possible to the actual purchase. Do not distract the customer from shopping with meaningless design elements or information not related to buying. Give him the opportunity of placing the selected product directly into his basket and then getting to the basket without having to take a roundabout route.

Broadband is indeed on the advance, but ISDN and analog connections are still widespread, especially for private users. Unnecessary gimmicks and large-size images lead to longer page loading times and test the patience of your customers. The graphical elements should not result in an extreme slowdown for images being displayed. Because prolonged waiting increases the readiness of the user to leave the web site.

The online store provides a set of powerful design tools you can use to quickly, easily and flexibly customize your store according to your own personal ideas or your corporate design. In doing so, no knowledge of HTML or assistance from external service providers are needed. Support is provided to you by a powerful design editor and a tool for creating images that automatically creates different sizes and views of product images.

You Breaking the Ultra Modern 80/20 Rule?

Sunday 10 May 2009 @ 10:50 am

Pareto Principle Presently…you’ve probably heard of the 80/20 rule which was invented, popularized, and made famous by a guy living in the Middle Ages in Italy named Pareto.

During his research he was looking at things such as the wealthy in society, how governments operate, and how humans interact with one another to see if he could find any commonalities. And that’s when he stumbled upon a startling discovery.

Quite unexpectedly he did find a universal pattern that governs all things in humans and nature. This crosses all time barriers throughout history and all facets of life including personal, business, and government administration.

As luck would have it he saw 80% of results coming from only 20% of the efforts.

This has a couple of implications.

1. 80% of your effort is in essence ‘wasted’
2. 20% which is very little effort gives the possibility for a massively successful business

This is a very powerful realization especially when you apply it and start focusing on those 20% of activities, customers and contacts, and people in your life who are bringing you the most value.

The tricky part, the results alchemy, is figuring out which 10%-20% of your efforts yield the lion’s share of your results and profits.

It’s mostly about knowing exactly what business you’re in and then identifying the top 20% of your customers which buy your high ticket items and spend the most money with you. These are your most loyal followers who will support your business and yield you tremendous cash flow into the future so long as you take care of them and treat them as the gold they are.

For example let’s say you work at a medium to large printing supplies corporation in the sales department.

You probably have multiple meetings during the week you’re compelled to attend, plenty of calls coming in to your desk, lots of people “popping in” to your office throughout the day, and other deliveries and paperwork coming in.

As a side note stats show that the average worker gets only 1-2 hours of productive work done in an 8 hour shift.

So how do you rise above the mediocrity, become a friggin’ superstar, and make all the money you want at your company?

Getting back to our example almost everything in the list can be cut out. You make money by talking with past clients and customers. And also, talking to new people who have a need for your printing supplies. That’s all you get paid for.

So wasting your time in meetings, taking extraneous phone calls, failing to lock your door and allowing “pop ins”, and dealing with unprofitable paperwork doesn’t do you any good. In fact all these things hurt your job performance reviews and ultimately your career.

There are many creative ways to beg out of unproductive and unprofitable activities and focus time on those things which are truly profitable.

Take it from me, talk is cheap and discovering your true 10%-20% activities will make you more profits and free more of your time for family than you ever dreamed possible.

Because you’ll have so much more free time you’ll be far less frantic and stressed and therefore you’ll be much happier and life. Since applying this principle into my own life I’ve noticed how much more time I seem to have and how much more at ease I am.

Rapid Elearning Tools: A Comparison Of Features And Usability

Friday 20 March 2009 @ 3:18 pm

Within the past few years, the popularity of rapid eLearning in the training and development industry has surged. The reason behind this is the ease of use and cost-effectiveness of rapid eLearning in helping trainers come up with exciting online training courses and modules.

There are many rapid eLearning tools that are available in the market. All of these tools offer different ways in which you can make training course development easier and faster. However, when finding one of the best rapid eLearning authoring tools in the market, it all boils down to features and usability. Here are some reviews of leading rapid eLearning software.

Articulate Rapid eLearning Studio is one of the most popular authoring tools available in the market. This e-learning tool is known for making the integration of easy to tailor Flash-based surveys, interactions, quizzes, and assessments onto online learning courses. Articulate is one of the most sought after rapid eLearning tools. What’s more, even users with a non technical background will find the different Articulate Software suites easy to use. These include Articulate Engage (provides different templates for designing online training courses), Articulate Presenter (enables the transformation of PowerPoint presentation to Flash-based interface), and Articulate Quizmaker (makes it easy for ordinary people to come up with different questions for quizzes, problems and exercises that are needed for making effective learning and training courses). Articulate, arguably the most comprehensive, is also one of the most expensive rapid eLearning authoring tools.

Another quite popular eLearning authoring tool is Captivate. This software is also user friendly. Even those who do not have extensive training in computer graphics, programming, and design can use Captivate in developing training modules with ease. The features that set this eLearning tool apart from the rest are the relatively effortless integration of texts and audio, fast capturing of screen sequences, and enhanced audience interactions. Captivate is also one of the most popular rapid eLearning tools because it is quite affordable.

Whatever type of rapid eLearning tools you use, you need to make sure that they are easy to handle. There is really no point in buying rapid eLearning software that is complicated and requires higher technical knowledge. Also, you might want to make sure that the authoring tool you use can easily import objects, graphics, clip art, and other materials from other software to make your job easier. This will spare you from developing anything from scratch.

Using Worksheets as a Way to Teach Kids

Sunday 15 March 2009 @ 10:33 pm

Worksheets have been used in our day to day lives. More and more people use these to help in teaching and learning a certain task. There are many kinds or worksheets often used in schools nowadays.

The common worksheets used in schools are for writing letters and numbers, and connect the dots activities. These are used to teach the students under kindergarten. The letter writing involves alphabets and words. These worksheets illustrate the different strokes that must be used to create a certain letter or number. Aside from this, such worksheets can also illustrate how to draw shapes, and distinguish them from one another.

Teachers use printable writing paper sheets. They let their students trace the numbers, letters, words or dots as this is the perfect way for a child to practice the controlled movements of his fingers and wrist. With continued practice or tracing, he will soon be able to write more legibly and clearly.

Schools use worksheet from printing to cursive writing of letters to writing of words. There are also online help to show the children how to exactly form a letter or word. After showing the students or children the way of writing, you can print the worksheets and give them practices on how to write exactly the right way. Children will be interested to do the activity because they had fun watching the software that you showed them.

Worksheet is not just for practice. Teachers can also let their students do a group activity through worksheets. Through this, students will learn how to bond and work with their classmates as one team. Teachers may also make worksheet activities as a contest. The prizes at hand will inspire and motivate students to perform well and learn their lessons.

It is important to learn letter first. The children must need to know how to write letters in printable form. After that, they can be taught how to write cursive. Writing cursives is not as easy as writing letters in printable form.

Remember that kids put more attention on animation. They are more interested on having fun so it is best for a teacher to teach them write letters in a fun way. Teachers may have noticed that when children are just being told on what to do, they may not do it right out of lack of interest.

Remember that with the so many worksheets available, choose one that is best suited for a certain lesson. Plan ahead what type of worksheet to use for a given day, depending on what you plan to teach.

There are many free worksheets available, especially online, but still the best worksheet is one that you personally draft. This way, you are able to match the level of difficulty of the activity in accordance to the performance level of your own students.

It is not bad to reuse worksheets for another batch of students, but once in a while it is also better to vary the activities you give to kids. Worksheets can be made for fun if it is attuned to the current interests of kids. The kids will respond better to activities close to their own interests.

5 Steps to Effective Video Marketing

Wednesday 11 March 2009 @ 12:29 am

Thanks to the internet and social media expensive video marketing campaigns are a thing of the past. You no longer need expensive equipment to produce nice videos nor do you have to pay anything to market your videos.

Even the most novices of technology can create, download, edit and upload a video in an hour or less. If you think video marketing isn’t for you, give it a try. It does not matter who you are or what you look like if your message is powerful or funny.

Here are the 5 steps to effective video marketing:

1. Thing ahead. Figure out your message before you do the video. Outline the points you want to cover in the video. Who is your target market? What do you want to convey to them? You could write a script, however creating an outline allows you to be more natural when you speak and comes out better than a script, unless you are a professional actor/actress. Practice what you will say a few times out loud and in front of the mirror. Being organized and knowing what you will say will shorten how long making the video will take as well as make it more effective.

2. Make it easy. Make your message easy to understand. Do not over complicate your message. You want your target audience to “get it” and take action on what you advise them to do next.

3. Content is king. Yes even in videos, content is still king. Make your videos informative and relative to your target audience. Great videos solve problems, answer questions, and or teach like in how to videos. The info should be engaging and clear what is to be done next. When your video has great content your viewers are more likely to click on your link, buy from you, view more videos of yours, subscribe to you, etc.

4. What’s in it for me? Convey the benefits to the viewers. What will they get out of watching your video, what will they get out of the product, site, training or whatever else you may be promoting? What solutions do you have for your target-audience? Let them know.

5. Lighting and sound. Make sure the viewers can see you well and hear you well. Be in a quiet place if possible and use natural lighting for the best effects. However neither of these are necessary as long as you are clearly visible and audible. Test the area you want to film in with a quick video. Play it back and make sure you can be clearly seen without distortion and easily heard. This seems like common sense; however there are many videos around the world that miss these two important elements.

Keep these 5 steps in mind every time you plan and create videos and you will be sure to have an effective video.

How Do You Put Music Videos into MySpace?

Monday 2 February 2009 @ 9:20 pm

So you are finally on MySpace, you have a cool page with all of your favorite things on it, a great MySpace layout, and your best pictures for the world to see. All that is missing is your favorite music video. The good news is that adding music videos to MySpace is not difficult, and if you can find a good source for free videos, you will not have to pay a dime to do so. Here are the steps to take to add music videos to your MySpace page.

Edit the Page

Start on the MySpace editing page. You can access this by clicking on the “Home” link at the top of your MySpace page. You will want to locate the main editing box. This is the one that has your profile picture on it. Select this box. You will be shown a list of options. You want to choose the one entitled “Add/Change Videos.”

Uploading MySpace Videos

Now you are on the video management page. This has four tabs labeled “Featured,” “Videos,” “My Videos,” and “Upload.” If you want to choose a video that MySpace has in its video library, choose the “Videos” tab. This will allow you to browse the many videos that MySpace has available. You can play them, and then once you find the music video you want on your profile, click “Add to my Profile,” and it will automatically be added. You will see confirmation stating, “Video added successfully” when the upload is complete.

Uploading Your Own Videos

If you have a music video on your hard drive that you would like to upload and have permission to use, click the “Upload” tab. You will see a page asking you to add some descriptions about your music video. You will want to put a title on it so people will know who is performing and what song they are singing. You will also want to put tags on the video that will help other MySpace users find it when they are searching for that artist or that song.

Once you have entered the information, hit “Continue” and you will be directed to the upload page. Click “Browse” to be able to search your hard drive and find the video you want. Once you have selected it, hit “Upload” for it to be uploaded to your profile page.

Remember, MySpace has strict terms and conditions. If the music video is protected by copyrights, you cannot upload it, and if you do, your MySpace page could be deleted. You also cannot upload any videos that contain pornography. Make sure you have a right to use the video and that it is appropriate for a public forum before you upload it.

Why Add Videos to Your Page

There are many reasons to add music videos to your page. For one, it gives your page visitors something interesting to do when they are on your page. This will help them to stay on your page longer and spend more time getting to know you.

Another reason that you should consider adding music videos to your site is the fact that they can tell a little (or a lot) about you. You can show your tastes, beliefs, and personality through the music videos that you select. There are any funny, provocative, and simply entertaining music videos available as free downloads for you to decorate your MySpace page with.

Acceptable File Formats

According to MySpace, the acceptable video file formats that you can use to upload to your site are .AVI, .ASF, .WMV, .MOV, .QT, .3G2, .3GP, .3GP2, .3GPP, .GSM, .MPG, .MPEG, .MP4, .M4V, .MP4V, .CMP, .DIVX, .XVID, .264, .RM, .RMVD, .FLV, .MKV, and .OGM. However, you may find that certain video formats do not play as well as you might like. Sometimes when compressing the file into the small size used on MySpace, quality is lost. If this happens, try converting the file to a different format and see if it works better.

Searching for music videos online? Come check out the largest collection of music videos online featuring all of the most popular artists and bands like Akon, Eminem, and Lil Wayne.

If you haven’t ever played this game before, here is a little short description of part of the game; In order to participate in the initial game, the player must choose a realm or server to play on. Each realm acts as an individual duplication of the gaming world, and falls into one of four different classes depending on the rules that realm uses.
